Travel arrangement
Travel should be booked through our preferred travel suppliers wherever possible. Please note that travel cannot be purchased using our purchasing cards.
UK/Domestic
For UK travel, please contact Clarity travel for flight and hotel quotes (they also assist with rail & car hire). Once you have suitable quotes, please forward these to eng-porequests@glasgow.ac.uk (please make clear which option(s) you have chosen) along with the project number to be used and an order will be raised on your behalf. If you have a flight in mind, you can send them relevant details for a live quote.

International

*Please note that travel is booked on economy class. If you have a request for premium economy or business class travel, please seek approval from the Head of School and forward along with your travel request.

Hotel bookings (Glasgow)
We have corporate rates with a number of hotels in the area which can be booked for guests who are visiting the University. A list of these hotels can be found here.
Details of hotel bookings should be emailed to eng-porequests@glasgow.ac.uk along with guest details and the relevant project code.
Visa’s
Travellers are responsible for acquiring their own visa’s. This can be organised through Selective Travel by following the same procedures for flight and hotel bookings.
Car hire (Glasgow)
Arnold Clark should be used if you require car hire which will start and end in Glasgow.
Please send details of the car hire and the project code which should be used to eng-porequests@glasgow.ac.uk and the order will be placed for you. Please note, you may be required to visit the Finance/HR/Research office with your driving licence, where a copy will be taken for Arnold Clark’s records.
A DVLA code is now required for all car hire bookings. This can be found here. It is your responsibility to email this to eng-porequests@glasgow.ac.uk prior to the booking. The booking may be cancelled without this.
Coach Hire
Allander Travel
Please send details of the trip including anticipated numbers for the booking to Allander Travel enquiries@allandertravel.co.uk, who will provide a quote. When the quote is received, please forward this along with the project number to eng-porequests@glasgow.ac.uk where an order will be raised for you.
It is advisable to contact Allander Travel prior to the booking to obtain the driver’s details in case you need to contact him/her.
Travel insurance
For members of staff & PGR students on University related business
It is the responsibility of the traveller to ensure that they are covered by the University travel insurance for the duration of their trip. Please note, personal holidays are not covered.

Visitor bookings/claim expenses
The school of Engineering does not book travel for visitors to the University. The normal protocol is for visitors to make their own travel arrangement and to them claim back from the University.
We only book the accommodation when the visitors are going to stay in Glasgow.
Visitors can be booked into one of the hotels we have an agreed corporate rate with. If they choose to stay at a different hotel, they can do this and claim back through Sundry payee (UK residents) or sundry foreign payment (non-UK residents).
PhD student travel
PhD students should book their own travel and claim back through expenses. Elaine McNamara should be contacted for approval prior to PhD students making any travel arrangements. Elaine.McNamara@glasgow.ac.uk.
