PIPS Funding
UKRI Training Grant Terms and Conditions outline:
Students may undertake a placement or an internship where this is either directly related to the student’s training, or provides valuable transferable skills and, provided this is well justified and approved in advance by their Supervisor and Research Organisation. The placement may be an integral part of the award, in which case a suspension or an extension of the student’s funded period is not required. In other cases, there may be a case for the award to be extended. However, if a placement is not directly part of their doctorate programme or the student is receiving a payment for the placement, then the Studentship should be suspended. You will still be paid your stipend whilst on PIPS, however it is not permitted to be paid a taxable salary for your PIPS placement. If you undertake paid part-time, temporary work during your PhD, this cannot count towards your PIPS placement.
Internship Guidelines:
- Purpose: PIPS is a non-academic, professional placement lasting 12 weeks (or 60 work days), providing experience and transferable skills outside the student’s primary research area.
- Payment: Students will continue to receive their stipend during PIPS but cannot receive additional taxable income for the placement. Paid part-time work unrelated to the PIPS cannot count towards this internship.
- Approval: Placement proposals require prior approval by the student’s supervisor and institution.
PIPS Funding Options for Expenses:
DTP PIPS Allowance:
- Covers up to £1,000 for travel and accommodation but excludes items like work clothing or specialised equipment. Any necessary procurement should follow the university’s rules to ensure insurance coverage.
- Risk Assessments: Additional safety checks may be needed for lone working or certain accommodation.
Host Organisation Support:
- Some hosts may cover travel or accommodation expenses, avoiding tax implications. Directly accepting financial support from the host may affect tax status; thus, it is recommended that hosts cover costs directly through their own procurement process.
Funding Grants:
- Supervisors or PIPS Contacts may guide students in identifying grant opportunities to support their placement.
Additional DTP PIPS Funding:
- Exceptional cases may receive up to an additional £1,000. Applications should demonstrate the development of transferable skills beyond academic research.
Managing Costs:
- Finding Affordable Options: Consider placements close to the home institution to minimize travel or accommodation needs.
- Placement Abroad: UKRI expects PIPS to be in the UK; however, placements abroad may be considered if no comparable UK opportunities exist.
Expense Claims:
- Receipts: Keep all receipts, as reimbursement requires proof of expenditure.
- Claim Forms: Access to the UoG online student expenses platform available here.
- Timeliness: It’s recommended to claim monthly to maintain cash flow and meet university processing timelines.

- If you have relatives or friends nearby your placement, consider staying with them. While you won't be able to claim accommodation costs through the DTP PIPS allowance in this case, it significantly reduces your overall expenses.
Research Host Organisation Support:
- Some organisations that host PIPS interns may offer to cover travel and accommodation expenses. Be proactive in inquiring about potential financial support when you approach these organisations.
Negotiate Costs:

PIPS Abroad Guidelines
If you are considering undertaking your PIPS abroad, please keep the following guidelines in mind:
UKRI BBSRC Expectations:
- The UK Research and Innovation (UKRI) Biotechnology and Biological Sciences Research Council (BBSRC) expects that PIPS placements primarily occur within the UK.
Justifying an International Placement:
- If you wish to pursue a PIPS opportunity outside the UK, you must demonstrate that no similar placements are available within the country. This justification is essential to align with the expectations of the funding body.
Documentation and Approval:
- Prepare to provide evidence that outlines your search for local opportunities and explains why an international placement is necessary for your development as a researcher.
