COURSE ENROLMENT
This project aims to address the persistent inefficiencies in UofG's course enrolment processes, which continue to lead to increased staff workloads and a poor student experience. While the Process Enabled Change (PEC) project has recently delivered tactical changes to the registration phase of the student onboarding lifecycle, the enrolment process continues with persistent issues. The AY24/25 cycle, described by staff as the most complex and demanding to date, experienced 227,236 self-enrolment transaction errors, impacting 24,449 students.
A cross-institutional workshop convened by Jo Gill on 8 November 2024, co-facilitated by the Routes to Enrolment and Timetabling programmes, resulted in a proposed positioning as Routes to Enrolment as the central governing programme for enrolment-related improvements. The proposed project is structured around three key workstreams to deliver transformative change:
- Data & Information Flow
- Collective Decision-Making
- Intuitive Student Interfaces
To support the successful implementation of these improvements, subject matter expert (SME) resources from Colleges and Professional Services (outlined in Section 6) should be mobilised over the next 18 months. This phased approach will address critical pain points by AY25/26 and work toward delivering a fully transformed Registration and Enrolment experience by AY26/27. Key deliverables, including the completion of a pilot programme to present course pathways and exploratory activity to explore solutions for pre-indication of choice are detailed in Section 5.
The success of this initiative depends on seamless integration with the Timetabling programme and essential business-as-usual activities, including PIA and Admissions work as well as MyCampus training resources within MSDI.
