Process Enabled Change (PEC)– Project Update (Feb 2024) 

Following our last communication at the end of December we wanted to take the opportunity to update you on what the project team has been working on over the last 2 months.

Our Team 

The Registration and Enrolment process is supported by so many departments across the University and therefore it is essential that this project has this breadth of representation. We are delighted to have a project team comprised of experienced members from the Transformation team as well as dedicated Subject Matter Experts from the Colleges, Registry and Finance.

Shaping our Governance

Our Steering Group meets monthly and will continue to play a pivotal role in guiding these transformative initiatives. We are pleased that from March 2024 we will be expanding the group to include representatives from all Colleges and Admissions, who will join our existing representatives from Finance, Registry and MSDI.

Prioritising our Scope 

Our focus in January was to utilise the insight we had gathered to date from both staff and students, to identify the priority opportunities for improvement. These proposals were reviewed and agreed at our PEC Steering Group on 31 January 2024 and are as follows: 

Deliver (short-term)

Thirteen work packages have been identified to deliver tactical change ahead of the Registration and Enrolment period for AY 24/25. These were prioritised as they are intended to deliver immediate process improvements and form the building blocks for longer-term change projects.

A further 10 work packages have been identified which will aim to drive transformative change and potential for new approaches in the longer-term. As these processes require further investigation, longer lead times and strategic decision making, the project team will initiate these work packages now, carrying out root-cause analysis and seeking stakeholder input over the coming months, with the aim for delivering improvements by the Reg & Enrol period in AY 25/26.

Next Steps

Across both the Deliver and Investigate work packages, our project team is focused on building structured project plans with key timelines; identifying where essential stakeholders need to be engaged; gathering additional data; and ensuring that the student voice and feedback remain at the heart of the project.

As such, over the coming weeks and months, you, or your teams, may be asked to contribute additional insight, data, or to take part in workshops or meetings relating to the above work packages. Your collaboration is crucial to the success of these initiatives and to making sure all process improvements are designed and delivered in partnership.
