Practical Guidance

The definition of confidential waste can be broadly described as papers containing information about University business with a selected readership and where disclosure may compromise personal privacy, financial or strategic information and therefore must be disposed of carefully.

All confidential paper for disposal should be removed from plastic binders or other non-confidential folders etc. Non paper binding etc can be removed but this will incur extra costs.

Contract Arrangements

Enva will co-ordinate the request to process confidential waste through their business partner Shredall who will attend site and make direct contact with the requester. Where consoles’ are required to be emptied or waste bags uplifted, these will be collected by Shredall who will thereafter take this to an appropriate on-site location and shred using their mobile shredding vehicle.

Users of this contract have an opportunity to ‘cherry pick’ the different services available such as free consoles or bags or the option to have scheduled frequency of visits or adhoc uplifts. Raising of purchase orders and processing of invoices will be direct between Service Users and Enva.

For your requirements for consoles/bags to be provided you will need to identify the location, the quantity, where they are to be delivered (full contact name and postal address) and the frequency of collections (weekly/fortnightly/monthly), as appropriate. These details should be clearly should be clearly set out in the Purchase Order.

Users will be required to raise their own purchase orders to cover the costs.

Uplift and Disposal of Waste

Consoles are provided and installed on request and are free of charge

Enva should be contacted to arrange the supply and installation of consoles and agree uplift schedules.

If larger adhoc quantities arise from clear outs etc Enva will provide bags and arrange uplifts.  This can be arranged by emailing William Tracey Group.

For smaller irregular uplifts, the contractor will provide an uplift service but it may be that such small quantities justify the use of a shredder and final disposal into paper recycling containers.

Please note that confidential records on disc or other hard storage devices should be disposed of by contacting CCL North Ltd Tel. 01294 278844.  There is currently no charge for disposal of discs etc.

Hazardous Waste various hazardous waste collection services are available to relevant management units throughout the University and include arrangements for processing chemical, biological and radioactive waste. These services are managed by the Safety and Environmental Protection Services (SEPS).

  • AV equipment
  • Large and small laboratory equipment
  • Large and small white goods
  • Refrigerated equipment
  • Batteries (including batteries that are Special Waste)
  • Small items of WEEE (e.g. cables and switches)
  • Other items of WEEE as required
  • Confidential Data Storage Media (CDs, DVDs, and magnetic tape)

Disposal of electrical and electronic equipment such as IT, audio-visual, white goods or laboratory instrumentation is regulated by the Waste Electrical and Electronic Equipment (WEEE) Regulations 2006.

Waste electrical and electronic equipment must not be put into the standard waste stream.

The Regulations require certain end-users of WEEE to be responsible for the recovery and recycling of this equipment when it becomes waste. This has implications for the way University management units dispose of electrical and electronic waste. The WEEE regulations also raise issues concerning contract negotiations for the supply of new electrical and electronic equipment and who takes responsibility for financing the recovery and recycling when the equipment becomes waste. It is essential that all equipment is properly decommissioned and decontaminated prior to disposal. This is of particular relevance to refrigerated equipment. A 'Refrigerated Equipment Decontamination Checklist' should be completed when preparing for a disposal. This should be retained with disposal records. In addition an 'Equipment Safe for Disposal' notice should be attached to any refrigerated equipment that is to be disposed. The disposal contractor will decline to uplift any refrigerated equipment that does not carry this notice. The checklist and notice are available. http://www.gla.ac.uk/media/media_292457_en.pdf

Some types of electrical and electronic equipment contain materials that are hazardous and are classified as Special Waste. This type of waste is subject to additional legislative controls. The most common examples of this in the University are computer monitors, televisions and refrigeration equipment. When arranging for the disposal of a batch of WEEE that contains any of these items you must ensure that the supplier is aware that these items will form part of the consignment to be disposed. Failure to do so will result in the supplier refusing to uplift these items as part of that collection.

Uplift and Disposal of WEEE

University management units must dispose of the following directly through the University approved supplier, CCL North Ltd:

  • high value items including scientific equipment
  • bulky or heavy items
  • IT or AV equipment (including monitors, TVs, video recorders etc.)
  • refrigeration equipment

Single small items can also be disposed of directly to the service provider.  These, however, will be scheduled into a weekly uplift programme.
