Privacy Notice for data provided in relation to the University of Glasgow’s 2024 Staff and Student Travel Survey
Your Personal Data
The University of Glasgow will be what is known as the ‘Data Controller’ of your personal data processed in relation to taking part in the University’s 2024 Staff and Student Travel Survey. This Privacy Notice will explain how the University of Glasgow will process your personal data.
What data we collect
The personal data we will be collecting in relation to the survey includes -
- The full postcode of your term-time address
- Information on your work / study pattern and travel habits
- Your email address (optional - only applicable if you enter the prize draw)
Legal basis for processing your data
We must have a legal basis for processing all personal data. In this instance, the legal basis is ‘Consent'.
Special Categories of Personal Data
This survey will not ask for any information that is considered as Special Category Data.
What we do with the data collected
We are collecting and processing your personal data as outlined in this Privacy Notice as part of your participation in the survey and may use it in order to carry out analysis and produce reports
- to inform on current travel habits
- to assess effectiveness of support provided by the University
- to allow assessment on progress to achieve the targets in the University’s Strategic Travel and Transport Plan
- to identify specific issues that are barriers to develop more sustainable travel habits
- to identify specific issues that may affect specific groups of respondents
- to calculate a carbon emission estimate related to different travel modes
- to inform on the potential of introducing support for staff business travel
- to inform on student end of term travel frequency, distance and modes
- to enable participants to enter a draw for survey incentives (optional)
Who we share the data with
All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom.
We also share your personal data with our Transport Specialist Consultant, SWECO, a third party company which will analyse the survey responses and compile a survey report on behalf of the University.
The personal data that we share with SWECO is
- The postcode of your term-time address
- Information on your work / study pattern and travel habits
Data sharing safeguards are in place for this purpose, as part of the University's contract with SWECO.
How long do we keep it for?
The full data set will be retained by the University for a period of 1 month, after the completion of the Travel Survey Report. SWECO will delete your data at that point.
After this time, the data will be completely anonymised, through
- removal of all email addresses from the dataset
- removal of all postcode data
and maintained for 3 more years. After that time the whole dataset will be securely deleted.
What are your rights?
You can request access to the information we process about you at any time. If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or, erased. You may also have the right to object to the processing of data and the right to data portability.

Please note that the ability to exercise these rights will vary and depend on the legal basis on which the processing is being carried out.
Where we have relied upon your consent to process your data, you also have the right to withdraw your consent at any time.
Complaints
If you wish to raise a complaint on how we have handled your personal data, you can contact the University Data Protection Officer who will investigate the matter.
