Steering Group Update #6

Here is an update from the most recent meeting of the University Services Relocation Steering Group (Tuesday 12 November). Topics covered include the fit-out, departmental move dates, culture change and communications matters.
Please find below a note of some of the key items discussed by the University Services Relocation Steering Group when it met on Thursday 27 November 2014.
Tay House Works
Update on Tay House Project Fit Out
Work is progressing well on site and the Group was provided with an updated project report, including some photos of the work. A draft ‘Move Sheet’ was tabled which set out what colleagues will need to do to help make upcoming moves as smooth as possible. This document will be finalised and issued to Move Leads to cascade to staff.
Financial Update
A brief update on the budget for Tay House was given. As a result of some identified savings on works the Group agreed that they should look at the costings for AV equipment and new Operators’ chairs to improve the space. This would be discussed at next meeting on 11 December.
Parking and Transport Update
Parking allocations have been agreed with Move Leads. Once everything is in place Central Services will take on the administration of the new permits for Tay House. Glasgow Taxis will also be approached to see if it would be possible to agree a fixed cost for travel between Tay House and the Main Gate. If more than 4 persons are moving between the campus within similar timescales then taxi travel could be better value than bus travel.
Worksteams Update
The Group were provided with an update on each of the workstreams (we won’t report much here as a lot will be covered by the 1 December event and we don’t want to give too much away). The Project Team is still seeking expressions of interest in provision of catering services by external providers. If anyone has any suggestions, do please let your Move Lead know.
Staff Engagement and Communication:1 December Event
At the time of the Steering Group meeting, only 30% of those moving to Tay House had indicated that they would be attending on 1 December and the Steering Group is keen to have as many staff as possible come along. We want to share the progress being made on Tay House and give you more information on other areas such as security, intercampus travel, gym facilities and how the new location will work as well as providing an opportunity for you to ask questions and get to know others moving. We'd be grateful if you could make the time to attend and there is still time to register. You can submit a question beforehand via communications@glasgow.ac.uk . The Steering Group has listened to those who indicated that they were not keen on the advertised 'speed networking' session and this will not be included. There will, however, be a chance to mingle after the session with refreshments and we do hope you take the opportunity to introduce yourself to colleagues from other Services.
Natasha Quinn from Communications has also been researching potential retail/catering discount offers for staff and details of these will be shared in due course. The Steering Group is delighted with the number of offers negotiated (currently 14, with more to follow) including discounts on food at Nandos and money off vouchers for Starbucks.
The next Steering Group meeting is scheduled for 11 December. Move Leads and Heads of Services should be contacted if you have any queries regarding the above.
