Steering Group Update #4

Here is an update from the most recent meeting of the University Services Relocation Steering Group (Tuesday 28 October). Topics covered include the fit-out, parking and transport and the meeting for all staff on Monday 1 December.
Update on Tay House Project Fit-Out
As reported at the last meeting, the office layout plan has been approved and move sheets have been issued to Heads of Services for completion by 31 October. Move Leads would be tasked this week with picking the desk worktops and seating fabric colours so that orders could be placed. New operator chairs are not included in the fit-out budget as this would contribute significantly to the overall cost of the project. Staff will be asked to take their current seating with them.
Parking and Transport
Final numbers for car parking have been received and along with the spaces at Tay House, the Steering Group will negotiate for additional bays at Q-Park on Sauchiehall Street. Martin Munro and Janette McBride will be in touch regarding the ballot for car parking spaces.
For those cycling to work, bike racks are already available at Tay House. The Steering Group is not planning on installing any extra racks for the time being but will monitor and review the situation regularly.
The walking tour to Tay House was unfortunately postponed because of the weather. However, three members of the Steering Group members tested the public transport link and travelled to Tay House using the No 4 bus which departs from University Avenue, opposite the Main Gate. The Group was pleased to note that the journey was relatively quick, with it only taking approximately 10 minutes from door to door.
Workstreams - Proposed list, process and documentation
A new action tracker to monitor the various workstreams for the relocation was shared with the Steering Group. The tracker includes items on working practices, office services and facilities management. A copy of this document will be placed on the Tay House webpages so that staff can see the type of items being progressed.
Staff Engagement and Communication events
The 1 December staff event has been publicised. Move Leads will be asked to suggest agenda items for the event – if you have any thoughts on what you would like discussed at the event, please let your Move Lead know. Sir Charles Wilson Building lecture theatre, Monday 1 December, 1 pm - 3 pm.
Programme Milestones
The moving dates for Services are still tentative, but will be circulated shortly and placed on the Tay House webpages.
The next Steering Group meeting is scheduled for the 12 November. Move Leads and Heads of Services should be contacted if you have any queries about the above.
