Planning, Insight & Analytics (PIA) operate this survey for the University with the help of other key services in the university. The Graduate Outcomes survey, which replaced the Destination of Leavers from Higher Education (DLHE), is run in conjunction with the HESA (Higher Education Statistics Agency) to find out what recent graduates go on to do ~15 months after they have graduated.  This will help current and future students gain an insight into career destinations and development and the University to shape programmes for students who are following in their footsteps.

As per the HESA suggested graduate contact plan, PIA contact students before they leave, 6 months after leaving, 12 months after leaving and just prior to the survey commencing. This is to encourage them to supply us with the most up-to-date contact details for use during the survey and to make them aware of the purpose and branding of the survey in order to encourage them to complete this when they are asked to. 

The timeline of the process is roughly as follows. There are 4 cohorts of graduates who leave each year and the following is done for each of these cohorts (largest in the summer):

  1. We contact the students before they leave to introduce the survey and branding and to request that they update their MyCampus contact details.
  2. 6 months after they leave we contact the (now) graduates to remind them of the survey and branding.
  3. 12 months later we contact them again to remind them of the survey and branding.
  4. 14 months later we securely upload their contact details to HESA to meet quarterly deadlines.
  5. Just prior to the survey we email them again to encourage participation.
  6. ~15 months after they leave HESA conducts the survey and the survey is open for 3 months.
  7. ~9 months after the last of the 4 cohorts (summer cohort) has been surveyed, we receive raw survey results and analyse and publish high level summaries for staff. 

As an example, this is the timeline for the summer cohort that left in July 2023:

  1. May 2023 - We contact the students before they leave to introduce the survey and branding and to request that they update their MyCampus contact details.
  2. January 2024 - 6 months after they leave we contact the (now) graduates to remind them of the survey and branding.
  3. July 2024 - 12 months later we contact them again to remind them of the survey and branding.
  4. August 2024 - 13 months later we securely upload their contact details to HESA to meet quarterly deadlines.
  5. August 2024 - Just prior to the survey we email them again to encourage participation.
  6. Start of September 2024 ~15 months after they leave HESA conducts the survey and the survey is open for 3 months until the end of November 2024.
  7. August 2025 ~9 months after the last of the 4 cohorts (summer cohort) has been surveyed, we receive raw survey results and analyse and publish high level summaries for staff.

Guidance for providing Contact Details to HESA

A task performed by PIA 4 times a year for the 4 graduating cohorts every 3 months (largest in the summer).
