How to get the most from the University Induction Hub

Developed collaboratively with input and feedback from nearly 300 colleagues across the institution, the Induction Hub is is a comprehensive online resource designed to provide new colleagues with all the information, guidance, and resources they require to thrive in their new roles.

For line managers the Induction Hub is equipped to provide you with full visibility over the progress of your team members, and the resources contained within the Hub will enable managers, mentors or induction buddy's to offer the best possible support.

This page explains what content is housed within the Induction Hub and how you might use it prior to, and at the point when, your new colleague joins.

Induction Hub Eligibility and Pre-Arrival Preparation

Eligibility

Colleagues will automatically receive access to the Induction Hub when they start at the University. They should receive an email signposting them to the Hub which their line manager will also be copied into. If they have not received this email, they will not have access. 

Colleagues who are changing roles will not receive automatic access, as the tasks are designed for those staff who have never worked at the University. If you would still like your colleague to complete the tasks in the Induction Hub this can be arranged through a request via the People & OD Helpdesk 'Make an Enquiry' button at the bottom right of this page.

A small number of colleagues may experience a delay in receiving their welcome email but if this has still not be received by day 3 you should raise a request via the People & OD Helpdesk to have this corrected.

Pre-Arrival

Within the Hub we have a section titled Pre-Arrival.

There is a short list of some of the steps you might want to follow ahead of your new colleague's first day listed in a table. These small measures will help to ensure that your colleague feels valued from day one. Our teams are often very busy but by ensuring your team is aware of the new colleague starting they can be prepared for their arrival and ensure they give a proper welcome.

Planning for Meetings

During your new colleague's induction and probation period dedicated meeting time will require to be set aside so you can review progress together.

Within the Induction Hub there are four tasks which a new colleague is required to complete which will require dedicated time with a line manager, mentor or Induction Buddy. Depending on what suits your team best you may choose to incorporate these in one or two long sessions or break them down into three or four smaller meetings.

In the Hub, we have set out the details of what the task is that the new colleague should complete, and included guidance and additional resources which you can use as a talking point.

For example one of the tasks relates to role-specific training. (The task detail is what the new colleague can see within their induction checklist.) The text reads as follows:

Task Detail: Many roles across the university require additional training courses to be completed and your line manager should inform you of these when you start. We have highlighted the main ones.

We have then added a talking point which reads:

Talking Point: The core five mandatory training courses have already been highlighted to your employee. You could use the page below to suggest what additional training may be required of them.

We have then added a link to a page on role-specific training and guidance so that you can discuss which, if any of the courses listed are relevant and should be undertaken by your employee. Where possible we have tried to suggest which courses may be relevant for particular groups of staff e.g. those with line management responsibility or those who work within Research and Teaching.

How does Probation fit in?

The probation period typically lasts six months and consists of four structured meetings with informal discussion taking place around these as required:

- Induction Meeting
- First Review Meeting (2 months)
- Second Review Meeting (3 – 4 months)
- Final Review Meeting (month 6 – in advance of probation end date)

Updates to the process mean the probation form is online and line managers will be given the link to create a form for their new colleague via an automatically generated email. We recommend that these four meetings are scheduled in the calendars of both the line manager and the new colleague so that they are not forgotten, but reminder emails will be sent a week in advance of each of the dates.

Before launch of the Induction Hub, the University used induction checklists which were downloaded and completed by the employee at their own pace during their probation period. This is still the case except we have moved the checklist onto a new Hub and there is no need to download anything.

 

What tasks are included in the Induction Hub?

There are 21 tasks which all employees have to complete as part of their University's induction. These tasks are broken down into five sections. Each has a description and relevant link which will help them complete the task.

How do I know what tasks my new colleague still has to complete?

Within the manager's hub we have added a section titled "Your Employees".

Here if you have new colleagues completing induction you will see their names, along with "(21)" displayed after their name. The number 21 relates to the total number of Induction tasks that they have to complete, this is the same for all staff.

If you click the ">" to the left of their name the Hub will show you how many complete and how many incomplete tasks your employee has. So when they have finished all tasks in the Induction Hub, the number showing next to "incomplete" will be 21.
